New payroll system for a SIL Provider
A client was manually processing timesheets using a combination of complex Excel macros and multiple steps to convert them into payslips for their staff. This process was necessary to compute the timesheets in accordance with their Award-based agreement. The client had over 300 casual workers under the award, and each timesheet was manually submitted every fortnight. It took the Payroll team at least three working days to complete the computation exercise. However, since the pay run fell on a Wednesday, the team had to work on weekends to meet the pay run deadlines.
Solution:
To address this issue, the client decided to implement a new payroll system that would replace the entire computation process with a single system capable of accurately calculating every payslip based on the entered timesheets. The objective was to reduce manual work, shorten the processing time, and increase the calculation accuracy.
Conclusion:
OPS undertook the project to implement the new payroll system for the client. This required customisation of the new payroll system to align with the award. OPS conducted extensive testing over several weeks to achieve the required accuracy in the payslips. Following the launch of the new payroll system, the processing time was reduced to a single workday, eliminating the need for weekend work.
